Job Summary: The Compliance Specialist ensures that all cannabis activities comply with state and federal regulations. This individual is responsible for overseeing the tracking and reporting of product movement, maintaining accurate records, and ensuring that all products are distributed in line with legal and compliance requirements. The role also involves managing ERP systems for compliance-related data and acting as the communication liaison between facility teams and management. The Compliance Specialist will play a critical part in keeping our distribution channels efficient and compliant, helping to safeguard the company's reputation and legal standing in the industry.
Duties/Responsibilities:
- Regulatory Compliance:
- Ensure all cannabis activities comply with local, state, and federal regulations, including DUTCHIE, METRC, or equivalent track-and-trace systems.
- Stay current on cannabis laws and regulations and make necessary updates to company practices.
- Conduct regular audits of operations, documentation and SOPs to ensure full compliance, identifying potential risks or gaps.
- Tracking and Reporting:
- Track cultivation plant movement, waste, harvest and packaging of cannabis.
- Track the movement of cannabis products from the facility to retailers or other licensed entities, ensuring compliance with all regulations.
- Maintain accurate logs for the facility and ensure data integrity in the track-and-trace systems.
- Prepare and submit all required reports to management in an accurate and timely manner.
- Records:
- Maintain comprehensive records of all product and distribution, including batch tracker, harvest documents, waste logs, shipping logs, chain of custody documents, invoices, compliance certificates and other documents as required.
- Ensure records are readily available for regulatory audits and inspections.
- Communication and Liaison:
- Serve as the primary point of contact between facility teams, compliance leadership and ownership to ensure smooth communication of compliance requirements.
- Work with internal teams (e.g., cultivation, production, logistics, and sales) to ensure seamless operations and resolve compliance-related issues.
- Communicate changes in cannabis regulations to internal stakeholders and ensure adherence to new policies.
- System Management:
- Manage software related to cultivation, tracking, ensuring all product movement, inventory, and compliance data is accurately logged.
- Train staff on the proper use of systems and software for regulatory compliance and record-keeping.
- Collaborate with Compliance Leadership, IT, and other departments to ensure systems align with compliance needs and support efficient operations.
Qualifications:
- Education: HS Diploma, GED, or bachelor's degree in business, compliance, or a related field.
- Experience:
- Minimum of 2 years of experience in a compliance role within the cannabis industry
- Experience working with cannabis track-and-trace systems (e.g., DUTCHIE, METRC) and ERP systems for distribution and compliance.
- Knowledge of state and federal cannabis distribution regulations, particularly in batch tracking, plant management, harvest documentation, delivery requirements, packaging/labeling, and record retention.
- Skills:
- Strong attention to detail and ability to maintain accurate records.
- Proficient in ERP systems Google Suite and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent communication and collaboration skills for working with regulatory bodies and internal teams.
- Strong organizational skills and ability to multitask.
- Problem-solving and analytical skills for addressing compliance issues.
